WLL Board Meeting Minutes

 

March 11, 2002

 

 

Meeting called to order.

No meeting minutes to review.

 

Mike Surber attending on behalf of Tim Gross for umpires.

 

Status

Equipment Hand out went well. Feedback was very positive. Everyone did a great job.

 

Senior Player Agent Report

Senior Teams are complete and practice has begun.

District provides practice fields for seniors, not a lot of slots but will work it out.

 

Umpire for seniors is critical and needs to be ironed out, possibly at the President’s Meeting.

Bill for service may be split with Woodinville West for services. Needs reviewed further.

 

Clinics

Discussion Topic:

 

President to follow-up with Designated Hitter.

 

Cost to Play Baseball and Softball

Need to determine what it costs WLL to “put on a season.”

 

Bills do not come in the current season so we don’t really know how much it costs per player.

 

Fees for Softball is higher for Junior and Senior girls. Is the $35 difference justified?

 

Refunds

Not allowed after player review for Minor and Major as worded on the registration form.

 

Player review date should be defined on the application. PR date is important because the

 

Motion to change refund charge from $10 to 50% of registration fee. Need to discourage parents from signing up their children then pulling them out at the last minute. Impact to WLL is significant because teams cannot be formed and forces extra work on everyone.

 

Motion carried.

 

Inter-league

Interleague wants a $10,000 payment for Complex upfront, which will represent about 85% of our obligation for the season.

 

Motion made and motion carried to cut a check to Inter-league.

 

 

Woodinville West

Softball runs good until the scheduling, fields. They interpret our partnership as a “sponsorship” and not that we are running the program.

 

There is some smoke and mirrors going on since it our WLL numbers that are being used to form their teams to then justify field allocations. WLL does not want to hurt Woodinville West’s program, but they need to be more realistic about fields and who is running the program. We have honored their request to use some of their managers to field a team involving our players.


Reality this season is Woodinville West had numbers for one minor softball team.

No Seniors Coordinator for WW Boys which made dealing with them painful because they were disorganized.

 

Problems to solve:

 

By working with WW we are taking on extra work. Is it worth it and what is it we want to collect? 

 

Follow-up at next meeting. WLL must be reimbursed by Woodinville West and our relationship defined and spelled out.

Fields

Field day is March 16 at Complex.

 

All managers encouraged to help with the fields, bleachers and landscaping.

 

Lock combination needs to be communicated to the managers prior to first game.

 

Padlocks will be welded to the chains on the equipment boxes and supplies stocked including chalk.

 

The condition of the fields has all been assessed and actions are being taken to get them ready for the season.

 

Cottage Lake would be a good place for the Farm Coaches instead of Complex since Fram has very few games at the Complex.

Picture Day is all set for March 23rd at Wellington.

 

Because of Math Olympiad there may be some no shows.

Treasurer Report

Bills are current.

There is approx $31,000 outstanding in the billing cycle.

Uniforms bill has not been paid.

 

Scheduling

Majors will have 18 games

Minors will have 14 games

Trying for 2 tournaments

 

Email of schedule will be sent to all managers.

Web site will be the owner of the schedule when posted.

There will be slots for make-up games.

 

 

Uniforms

Most uniforms have been distributed.

Any extra uniforms can be turned in at picture day.

 

 

Safety

League had to buy 17 Safety Kits due to inventory loss.

 

There were 26 that were not returned last year but several showed up on equipment hand-out day.

 

Need to do a better job collecting these kits or go with a process that assume we buy new every year.

 

Spent $370 at Wal-mart. Need to come up with a way to keep ice packs available at the fields.

 

The Safety Plan is almost done and will be submitted to the district on time.

 

Softball

Request to send Coaches to the Kirkland clinic

Motion made and carried to fund Shelly’s coaches at $25 a head.

 

T-Ball

Need to be clear on cut off date for sign ups.

Good idea for next year – establish an official waiting list on the Web.

 

Rookie

Everything is settling down.

 

Major/Minor

Major is a more competitive level play than Minors.

 

No standings will be kept at Minor level but standings will be kept at Majors.

 

While games are competitive, emphasis should be placed on development and instruction and not let’s just win.

 

Tournament seeding for Minors will be random draw and not based on standings. Tournament seeding for Majors will be based on regular season standings.

 

Minors players need to be developed to play Majors in subsequent years.

 

 

 

Umpires

 

Scheduling is in the process.

 

Tim is going to have a meeting on March 26th. There is some confusion on if it is training or recruiting. Will get resolved and published.

 

General

Donation to Woodinville HS baseball for provision of the Coaches Clinic---agreed that $300 was reasonable.

 

Irene to send email remainders to managers regarding schedules, safety kits and uniforms.

 

Other information will be sent in regard to umpires and field scheduling on rain outs.
